Job Description

Position: Finance Officer
Job Type: Full-time (35 hours)
Annual Salary: £28,752.00 - £32001 (P/A) Depends on experience
Responsible to: CEO

Main purpose:

The role of the Finance Officer involves providing financial and administrative support to projects,

colleagues, clients, management and stakeholders of the charitable company.

Working with the CEO, the post-holder will ensure that the charitable company functions effectively, and

will contribute towards its long-term financial sustainability.

Specific Responsibilities: 

Postings and reconciliations of sales/purchase ledgers 

Raise fee invoices and statements across different customers including local authorities, NHS, and

posting adjustments where required 

Assisting in credit control function and follow up on unpaid invoices beyond terms 

Posting of monthly salary and pension journals and liaise with HR manager, payroll provider and

Pension provider to resolve payroll related queries. 

Understanding the requirement to post income and expenses by (e.g. Homecare, Day Care, Lodge) 

Understanding of entities activity areas, and an inquisitive mind set to allocate incoming resources,

and outgoing expenditure effectively 

Bank reconciliations, including petty cash, and maintaining records and receipts for all daily

transactions and regular balance sheet reconciliations 

Proper maintenance of accounting records and files, adherence to Data Protection 

Ensuring the integrity of the chart of accounts by adding nominal codes appropriately 

Monthly/Quarterly management reports, and explanation of performance to Trustees and service

managers 

Knowledge of accruals and prepayments for month-end/year-end reporting and maintain and

updating the fixed asset register

Assisting the CEO & Treasurer in cash flow analysis and forecasting, preparing budget of the

organisation 

Ability to communicate with relevant managers in order to prepare and monitor budgets 

Pro-activeness to design and implement new reports within Sage or Excel to assist user

understanding. 

Support the entity in its grant applications and funding proposals by providing relevant information 

Liaising with auditors, and collation of information before the audit, being the first point of contact

for auditor queries. 

Communicate with external professionals, supplier’s, partners and other service provider to carry

out accurate financial transactions and correct record 

Understand petty cash handling process and record all transaction accordingly

General Responsibilities: 

Contribute through Apasen team meetings, training, and outreach/events towards the

development of Apasen’s services. 

Contribute to and attend internal/external events and support the CEO/SMT with the promotion of

the organisation’s workplace culture.

Any information relating to individuals and service users should be treated with the strictest confidence,

and discussed only with the appropriate members of staff.

Any information relating to staff acquired in the course of duty must be treated in the strictest confidence

and only discussed with other senior staff members or with the line manager.

Qualifications, experience and traits

Graduates preferred. Commencement of AAT/ACCA/CIMA qualifications will be looked at

favourably, although not essential.

Minimum one year experience of using a bookkeeping system with working knowledge of Sage50 is

essential.

Previous experience of working in a finance function in a care-related sector is also advantageous.

Good working knowledge of Microsoft Office including excel, and the desire to engage with new

systems and working methods is essential

An individual who can be proactive and identify process improvements and better work practices

and systems

Ability to communicate with a wide range of people, including professionals, suppliers and learner’s

with learning disabilities, and their carers.
