Job Description

We are looking for a proactive and highly organised Scientific Admin Assistant to join our Supplements and Feeds testing team.

Job purpose:-

You will undertake key administrative duties to support efficient delivery of work across the Supplements and Feeds Testing team.

Key responsibilities:-

  • Handling of customer communications
  • Handling general customer enquires received via email and telephone
  • Management and collation of customer feedback
  • Administrative support to the operational team (archiving, electronic record management, filing etc.)
  • Support and conduct data entry and review within Client Management (CRM) and LIMS (Laboratory Information Management Systems) databases to ensure customer account details are recorded correctly against contractual agreements
  • Support and conduct invoicing and purchase order activities on time and in compliance with agreed customer requirements
  • Actively monitor and communicate with customers and other relevant internal parties regarding account queries and overdue debt
  • Communicate directly with clients via email and phone regarding routine service delivery activities including:
    • Submission paperwork queries
    • Sample amendments
    • Work updates and delivery timescales
  • Ability to use LIMS database to actively monitor service delivery performance and track sample analysis progress
  • Communicate and report results out of LIMS database
  • Assist operational team with work planning and batch allocation to ensure customer deadlines are met


Person specification:-

  • Established administrative experience involving direct customer contact within a busy office /laboratory environment
  • Excellent attention to detail
  • Knowledge of invoicing systems / processes
  • Excellent customer service skills
  • Excellent communication skills, both written and verbal
  • Ability to make informed administrative decisions
  • Excellent time management skills – ability to multitask on numerous projects
  • Broad IT competence - Excel, Word, Outlook and in-house systems
  • Awareness of customer management tools, such as Salesforce
